Executive Meeting Thursday Sept 20/07

- Meeting
called to order at 7:30pm.
- Minutes
of June 14 meeting were approved with the correction that the July meeting
was postponed to Sept. 20th. Glen moved that we approved minutes.
Seconded by Gerry. These minutes will be posted on the club website.
- Don
gave a brief financial report. We will need to augment the bank account in
order to pay the insurance policy in November.
- Re:
Trillium Foundation Grant Application- We should have an answer by the end
of October.
- Newsletter
will be posted on the website.
- We
will try to schedule a Board meeting during the first week of November.
- It
is suggested that we hold house league on Tuesday and Thursday nights. This
will start September 25 and run from 7:30 to 9:30pm.
- Our
incorporation status has been updated. We are a non-profit incorporation.
- Key
pick up system is going well. Any modifications will be considered.
Liability forms must be filled out if a guest is one of the players.
- There
are some concerns about our hydro usage. A volunteer will try to solve the
billing queries.
- We
are awaiting information o the cost of insurance for Directors and Officers
coverage. At this point the Executive decide not to purchase this coverage
at a cost of $600.
- We
hope that one of the members of the Board will oversee maintenance and
cleaning committee.
- We
will seek advice on a proper material to seal roof joints.
- A
proposed new fee structure is listed below. This fee structure will be
discussed with the rest of BOD by telephone. We will also discuss starting
to collect next year’s fees now in order to help our current cash flow
problem.
Proposed
Fee Structure: $200. per year adult unlimited play.
$100.
per year student unlimited play
$10. for a guest fee
$50. per year for a supporting member
15.The High School Guidance Dept. will post a request for students to
accumulate some community
service hours helping prepare the courts for painting.
16. We have not yet spent any HCDC money pending quotes on heating / air
conditioning
systems. The possibility of new viewing windows remains pending quotes
from suppliers.
17. We will approach the Haliburton Echo regarding an article about
current events (i.e. house
league) while we await a decision from the Trillium Foundation.
We regret hearing the news of the passing of club member Jim Donovan.
